Understanding Bin Quantities

A Bin is the stock summary for one item code in one warehouse. Different warehouses have separate Bins, even for the same item.
To find a Bin, search for Bin in the ERPNext search bar, then filter by Item Code and the exact Warehouse. Note the UOM and Company.
All Bin quantities are in the item's Stock UOM. For example, if 1 box = 10 Nos, a pending purchase of 3 boxes contributes 30 Nos.
A Bin is not a monthly report. Use all outstanding documents, regardless of age. A date filter can hide an old order that still contributes. Use the same company and exact warehouse throughout, because a group warehouse total will not match a single Bin.
Quick reference
| Bin field | What it means | Where to trace it | Effect on Projected Qty |
| Actual Qty | Quantity physically in this warehouse | Stock Ledger / Stock Balance | Add |
| Requested Qty | Outstanding Material Request quantity, net of Material Issue requests | Material Request | Add; can be negative |
| Ordered Qty | Quantity still expected from purchase and subcontracting orders | Purchase Order + Subcontracting Order | Add |
| Planned Qty | Finished goods still to be produced against Work Orders | Work Order | Add |
| Reserved Qty | Outstanding Sales Order demand | Sales Order, including Packed Items | Subtract |
| Reserved Qty for Production | Raw material demand still pending transfer or consumption | Work Order, Required Items | Subtract |
| Reserved Qty for Subcontract | Raw material still to send to subcontractors | Subcontracting Order + Stock Entry | Subtract |
| Reserved Qty for Production Plan | Plan demand not yet covered by linked Work Orders | Production Plan + linked Work Orders | Subtract |
| Reserved Stock | Explicit allocation through Stock Reservation Entries | Stock Reservation Entry | Not used in Projected Qty |
| Projected Qty | Expected balance after incoming supply and outstanding demand | Calculated from the fields above | Result |
Projected Qty
Projected Qty is a planning balance. It is not the quantity you can dispatch today, and it has no delivery-date cutoff.
Projected Qty = Actual Qty + Requested Qty + Ordered Qty + Planned Qty
- Reserved Qty - Reserved Qty for Production
- Reserved Qty for Subcontract - Reserved Qty for Production Plan
Example: the values below are the example values from the guide.
| Field | Example quantity | Arithmetic |
| Actual Qty | 100 | +100 |
| Requested Qty | 30 | +30 |
| Ordered Qty | 40 | +40 |
| Planned Qty | 20 | +20 |
| Reserved Qty | 25 | −25 |
| Reserved Qty for Production | 15 | −15 |
| Reserved Qty for Subcontract | 10 | −10 |
| Reserved Qty for Production Plan | 5 | −5 |
| Projected Qty | 135 | 190 − 55 |
Reserved Stock is shown separately and is not subtracted again.
A negative Projected Qty means the demand in this calculation is larger than current stock plus the incoming supply it represents. It does not say when a shortage will happen.
Field rules
Each field counts only the rows that meet its conditions. Filtering by a single status often misses rows.
- Requested Qty: Material Requests that are Submitted and not Stopped. Add the Purchase, Manufacture, Customer Provided and Material Transfer rows. Subtract Material Issue rows. Only rows where Stock Qty is greater than Ordered Qty count. A request can contribute zero once its rows are fully covered.
- Ordered Qty: Purchase Orders that are Submitted and not Closed or Delivered, plus Subcontracting Orders that are Submitted and not Closed or Completed. Count (Qty − Received Qty) × Conversion Factor for each row. Rows delivered by the supplier are excluded. On a Subcontracting Order, the count is the finished goods being received, not the raw materials sent out.
- Planned Qty: Submitted Work Orders not Stopped, Completed or Closed. Count Qty − Produced Qty. A Production Plan alone does not create this quantity.
- Reserved Qty (sales): Submitted Sales Orders not On Hold or Closed. Count Qty − Delivered Qty, and subtract returns only if the Selling Settings option is enabled. Fully delivered rows contribute zero. For product bundles, also check the Packed Items table.
- Reserved Qty for Production: Submitted Work Orders not Stopped, Completed or Closed. Use the Required Items row at the source warehouse. If transfer is required, count max(Required − Transferred, 0). If transfer is skipped, count Required − Consumed.
- Reserved Qty for Subcontract: max(required quantity − net quantity sent, 0). Required comes from the Subcontracting Order's Supplied Items. Sent quantities come from Stock Entries with purpose Send to Subcontractor. Returns count negatively.
- Reserved Qty for Production Plan: max(plan requirement − linked Work Order requirement, 0), at the same warehouse.
- Reserved Stock: Stock Reservation Entries, counted as Reserved − Delivered − Transferred − Consumed. It is shown separately and is not part of Projected Qty.
If your total does not match
Run these checks in order before you contact the ERP administrator.
- Confirm the exact item, warehouse, company, Stock UOM and comparison time.
- Remove date filters on outstanding documents. Confirm that drafts and cancelled documents are excluded.
- Check the item-row warehouse, partial receipt and delivery counters, conversion factors, returns and bundles.
- Check every contributing document type, including Subcontracting Orders and Material Issue requests.
- Check the Production Plan and subassembly paths. The subcontract transfer calculation can differ from a warehouse-only transfer total when the same raw material is used in several reserve warehouses.
- If a difference remains, send the Bin and your document-level subtotals to the ERP administrator. Do not edit Bin quantities to force a match.
For each Bin field, keep a separate subtotal. For combined fields, such as Ordered Qty, show the Purchase Order and Subcontracting Order subtotals separately before adding them.
