Privacy Policy - Classic HR

Classic HR is a mobile application developed and operated by Classic Signages Private Limited ("we", "us", "our") for use by our own employees to manage attendance, leave, payslips, tasks, team chat, voice and video calls, and related HR functions. This app is not available to the general public and requires a valid company login.

Information We Collect

  • Account information: name, employee ID, company email address, phone number, designation and department.
  • Attendance data: clock-in / clock-out timestamps and, where enabled, device location at the time of clocking in or out, used solely to record and verify attendance.
  • Work-hours location (live tracking): for roles that require it, after you clock in the app records your device location about every 30 minutes, including while the app is in the background, until you clock out. Each point is stored with the street address resolved on your device. This is used only to confirm field attendance and site visits; the app tells you before it starts and you can see when the last point was sent.
  • Location you choose to share: in team chat you can tap the location pin to post your current position once, as a message to that channel. Nothing is shared unless you confirm.
  • Team chat: messages, replies, reactions and files or photos you post in chat channels and direct messages, together with when they were sent and read.
  • Voice and video calls: when you place or answer a call the app uses your microphone and, for video calls, your camera. The audio and video are transmitted live to the other participant and are not recorded or stored by us. We keep only the call record: who called whom, when, how long, and how it ended.
  • Photos and files: pictures and documents you choose to attach - chat attachments, expense receipts, item photos and your profile picture. The app only accesses the photos you pick.
  • HR records: leave applications and balances, payslip and salary details, expense claims, employee advances, and task assignments, as already maintained in our HR system.
  • Device information: basic device and app version details, a push-notification token so we can notify you of messages and calls, and a device identifier used to bind your login to your phone, used for app update checks, notifications and troubleshooting.

Permissions the App Asks For

  • Location (including in the background): attendance and work-hours tracking, and the optional one-time location share in chat.
  • Microphone and camera: voice and video calls only, and taking a photo you choose to attach. A call keeps the microphone (and camera, on video calls) active in the background while the call is in progress, shown by a persistent "Call in progress" notification.
  • Notifications and full-screen alerts: chat messages, HR updates, and incoming calls that ring on the lock screen like a phone call.
  • You can withdraw any of these permissions in your phone's settings at any time; the related feature then stops working while the rest of the app continues to work.

How We Use This Information

All information collected through the app is used exclusively for internal HR administration and workplace communication - attendance tracking, leave management, payroll, task management, team chat and calls between colleagues, and related employment purposes at Classic Signages Private Limited. We do not use this data for advertising, and we do not sell or rent it to any third party.

Data Sharing

Data collected by the app is stored on our own HR system and is not shared with external third parties, except where required by law or as necessary to operate core infrastructure. The service providers that process data on our behalf are:

  • Frappe Cloud - hosting of our HR system and chat (data stored in India).
  • LiveKit Cloud - real-time relay of voice and video call audio and video between participants (India region). Call media passes through their servers encrypted and is not stored.
  • Google Firebase Cloud Messaging - delivery of push notifications for messages and incoming calls. Only the notification content and your device's push token are handled.

Data Retention

Employment and HR records are retained for as long as required for employment administration and applicable legal/statutory record-keeping requirements.

Security

Access to HR data is restricted to authorized personnel only, the app communicates with our servers over encrypted connections (HTTPS and secure WebSockets), and call media is encrypted in transit. If you choose to save your login on the device, the password is kept in the phone's encrypted storage.

Your Rights

As an employee, you may request access to, correction of, or deletion of your personal data (subject to statutory record-keeping requirements) by contacting HR using the details below.
